How many time have you been disappointed yourself, when a trader you hired sent you a hand written unintelligible note in leu of a profession document. Or that the costs were different that agreed. Its frankly unprofessional and harms reputations. What’s the point of being in business if you can’t get a regular cash flow due to irregular invoicing.

Managing your company, doing jobs and creating invoices should be one of the easiest parts of running your accounts. It shouldn’t be holding you back. You shouldn’t need to wait for weeks to get paid because you only invoice once a month. You should have the flexibility to agree terms on a per customer basis and to make adjustments to costs / timescales as you see fit.

In short, your quotation and invoicing should enable your business not hinder it. This is why Envoyce was created.

Envoyce is an online tool to help you manage your client invoices & quotations. It’s been designed to have an ultra-simple interface that anyone can use. Its also flexible allowing you to tailor your products (names, prices or discounts) on a per invoice basis.

It’s not a replacement for a full accounts system but rather the start of the invoicing process. Many businesses and contractors still need to provide an invoice for their work periodically. Whilst an “all singing & dancing! accounting apps like Xero & Sage allow you to create invoices, it’s not really designed for the trader but rather professional back-office personnel.

Envoyce is designed for the trader to use whilst on-site. You can create quotations for jobs & services whilst discussing them with your customers. Envoyce tracks the quotes, expires old ones and allows you to create drafts (if you need to check details before presenting final costs. Additionally, you can change quotations into full invoices with one button click. No duplication or chance of errors.

Envoyce is not a traditional app (you won’t find it in the app store), but it does run on your phone. It’s from the new generation of tools that are designed to run from any internet browser. including most modern smartphones, tablets or you PC/Mac. The main benefit of running an app this way to allow for instant updates. Not more lengthy updating reminders. Envoyce check for updates each time it connects to the internet. Its fully automated and you need not do anything.

Who is it good for ?

Envoyce is good for anyone who creates quotes & invoices. Whist this application started helping IT contractors, it soon became popular with Plumbers and Electricians who predominantly issues invoices in arears.

Envoyce suits companies that may also sell only to businesses (B2B) typically governed by contract that are required to issue invoices with purchase orders, or startups that are trying minimise initial costs.

Envoyce is good for individuals that typically sell or do work for larger companies that expect invoices or situations where working for a person or company is “on-going” and requires invoicing at the end of a pre-defined period. Such a company might offer gardening services or a window cleaner.

It costs you nothing to use Envoyce, create as many invoices and quotes as you like. There is no time limit either.

So, what is the catch? I get it, typically there is always a catch isn’t there, but with Envoyce there isn’t one. We don’t restrict your data or limit usage. We don’t have annoying adverts ether or try and sell you meaningless addon’s. The deal is you can use it as much as you want and we won’t charge you.

We may in the future and additional optional services that we may take a commission on, but it won’t affect the core service you use.

How it can help you.

Envoyce allows you to create a virtual shop of services & products that you can use to build quotations and invoices. Its isn’t a CRM system and its scope is not as such. If you need business intelligence / CRM for your business that is beyond the scope of Envoyce.

However, it can organise, group and sort you invoices, track invoices that have been issued that are not paid, overdue invoices and bad debts. You can create draft invoices & quotes too if you are not quite ready to issue them.

Envoyce takes care of the numbering and all the calculations automatically. If your business is HMRC VAT registered it will apply the appropriate tax to your products. At every step you can change product names. Costs, VAT rates et al to suit your business. Your customers can be created with multiple contact and locations (addresses) and business terms can be set on a per customer basis and overwritten at the invoice if required.

Envoyce employs a “prompting” design so that you are only asked for the minimum of information, and the system can use meaningful defaults to create the documents. For users that require more control over your invoices you can override many of the defaults at the individual invoice level without affecting historic invoices or the defaults.

To aid tracking of your invoices there is a home summary page showing cash flow (Month Sales, Accrued & Overdue) together with other tools so that you can more easily view your financial position.
